Departmental permit guidelines
Departmental permits (DPs) provide short-term parking for authorized personnel on official university business when they need a lot outside their assigned permit zone. Here's how the FY27 program works for CAES units.
This page summarizes UGA Transportation & Parking Services policy for CAES departments.
Read the official TPS page01Who can request, and how many
Departments may request up to 6% of the full-time-equivalent (FTE) faculty and staff in their official HCM/HR department.
Need more than the 6% allocation? A formal justification letter signed by your Vice President or the Provost must be submitted through UGAmart Internal Notes. Exceptions are reviewed case by case and are not guaranteed.
02Cost & approval
FY27 departmental permits are $300 each and must be purchased anew each year through UGAmart. Before an order is processed, requesters complete a short training video in the Professional Education Portal (available July 1).
Every purchase requires Vice President or Provost approval.
CAES departments: start with the permit request form. The CAES Business Office coordinates Provost approval and ordering, and lets you know when permits are ready for pickup.
03Using a departmental permit
- Keep DPs managed centrally and sign them out as needed — they're not assigned to individual employees.
- A DP is valid only when used together with a regular UGA permit.
- DPs are valid in the regular spaces available to regular permit holders for that lot.
- Manage DPs as carefully as any other item purchased with departmental funds.
04Where departmental permits can park
Effective August 1, 2026, DPs are not valid in high-demand North Campus and South Campus areas. They are permitted in these decks:
Temporary restrictions may apply during construction or special events. Check the official map for the current boundaries.
05Prohibited uses
Using a DP to enhance an individual's parking assignment is considered personal use and is strictly prohibited. A departmental permit is not valid in:
- Fire lanes
- Reserved spaces
- State-vehicle spaces
- Patient or client spaces
- Customer parking
- Visitor spaces
- ADA spaces — unless accompanied by a valid state placard
06Enforcement
If a vehicle using a DP is cited for violating departmental permit policy, the permit is revoked without a refund and must be returned to Transportation & Parking Services immediately.
